SUMMARY

The Administrative Assistant for Career and Technology Programs, will play an integral role in the day-to-day operations within the department. This includes but is not limited to: clerical support, coordinating projects and events, records management, and ensuring effective communication within the department.

MINIMUM QUALIFICATIONS

  • Associate Degree in related field OR two (2) years of relevant work experience.
  • Proficient with Microsoft Office Suite, and Google software.

Preferred:

  • Proven experience in administrative roles, preferably in an educational or career & technology environment.

ESSENTIAL DUTIES AND RESPONSIBILITIES include the following:

LEADERSHIP

  1. Create and sustain a supportive College culture that engages employees, recognizes diversity, ensures equity, promotes inclusion, and creates a sense of belonging by fostering an environment of teamwork, accountability, communication and vision.
  2. Anticipate the needs of the Dean and obtain background material for meetings, projects, and events.

ADMINISTRATION/MANAGEMENT

  1. Assist the Directors, and Department Chair in daily administrative tasks.
  2. Manage databases and program related documents to ensure the accuracy of all records, and reports.  
  3. Plan and coordinate events, and meetings. Prepare logistical arrangements as necessary.
  4. Maintain the inventory and assist in the procurement of resources and materials for programs.
  5. Assist with the administration of the Perkins V grant and lending library.
  6. Collaborate with other responsible staff to build course sections for all career and technology, continuing education, and workforce training courses.
  7. Ensure course sections are accurate and comply with the course file and semester dates and times.
  8. Manage all grade rosters including the initial progress reports, mid-term and final grades.
  9. Track completion of and assist with data entry for annual assessment process.
  10. Provide assistance to current and future students of Career & Technology Programs.

ACCOUNTABILITY

  1. Participate in assigned Shared Governance Teams and Councils meetings.

FISCAL

  1. Assist in tracking program budgets and expenditures.
  2. Process invoices, purchase orders, and expense related to Perkins V grant funds.
  3. Assist with collection, and processing of incoming payments for the Driver Safety Program.

OTHER

  1. Perform other related duties which may be required by the Dean of Career & Technology Programs (i.e. duties that may not be specifically listed in the class specification or position description, but are generally within the occupational series and responsibility level associated with the employee’s class of work).
  2. General work hours are Monday through Friday, 7:45 a.m. – 4:15 p.m. Evening or weekend hours may be required to participate in other college activities outside of regular working hours.

PHYSICAL DEMANDS

The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job.

Lifting:  Raising objects from a lower to a higher position or moving objects horizontally from position to position.  Lifting items up to 20 pounds in weight.

Sitting for prolonged periods of time.

WORK ENVIRONMENT    

Work is primarily in an office/school environment.  Noise levels usually are moderate.

SALARY:  $33,000 – $35,000
